Connect your Gmail or Outlook mailbox
Connect a Gmail or Outlook mailbox to Whali so outreach sends from your own address. Covers the popup consent flow, wrong-provider warnings and disconnecting.
Last updated 26 July 2026
Whali sends from your own mailbox, so every email arrives as if you wrote it by hand. Connect Gmail or Outlook once from Inbox, then Email Accounts. Consent opens in a small popup window, the page underneath stays live, and your connected account appears the moment it finishes.
Which mailboxes can I connect?
Two providers: Google for Gmail addresses and Microsoft for Outlook addresses. You can keep up to two mailboxes connected at once. University and work accounts are often blocked by an IT administrator, and Whali says so when that happens, so a personal address is the safer choice.
| Provider | Use it for | Worth knowing |
|---|---|---|
| Connect Gmail | Gmail and Google-hosted addresses | Gmail cannot detect replies, so follow-ups will not cancel automatically |
| Connect Outlook | Outlook, Hotmail, Live and Microsoft-hosted addresses | For a university or work address, pick "Work or school account" on the Microsoft screen |
How do I connect a mailbox?
The whole flow takes under a minute. Whali asks only for permission to send on your behalf, and the modal says so plainly: your inbox stays private. Tick every box on the consent screen, because a missing send permission is the single most common reason a connection finishes but cannot send.
- Open Inbox, then Email Accounts.
- Press Connect Account (or Connect Your First Account if this is your first one).
- Choose Connect Gmail or Connect Outlook.
- Finish signing in inside the popup window. On Google, tick every checkbox, especially "Send email on your behalf".
- The popup closes and the account appears as Connected. If your browser blocks popups, Whali falls back to a normal full-page sign-in and brings you back afterwards.
What if I connect the wrong provider?
Whali warns instead of blocking. If you sign in with Microsoft for a Gmail address (or the other way round), the account still connects, but a "Wrong provider for this address" notice explains that emails would send from a mailbox you do not use and may land in spam. You choose what happens next.
- Press Reconnect with Google or Reconnect with Microsoft to redo the connection through the provider that actually hosts your mail.
- Or press Keep this connection if you know what you are doing. The account card then shows a Wrong provider badge as a standing reminder.
- If a Google account has no Gmail mailbox at all, Whali tells you and asks you to connect the account that hosts your email instead.
Why does the mailbox I choose matter?
Cold email lands or bounces on reputation, and reputation belongs to the mailbox, not to Whali. Sending from an address you genuinely use, with real history and real replies, is what keeps you out of spam folders. It also means replies arrive where you actually read them.
Whali enforces sending limits to protect that reputation, shown on the Email Accounts page:
- Up to 350 emails per account per day.
- Up to 30 emails per hour.
- Up to 20 emails to the same domain per day.
- A minimum of 20 seconds between sends.
The same page shows Sending Activity, so you can see what has gone out today and this hour. More on sending in Sending and scheduling and Follow-ups.
How do I disconnect or reconnect?
Disconnect from the account card on the Email Accounts page. Whali asks you to confirm, then stops sending from that address. If your provider revokes access, the account moves into a Needs reconnection section with your data intact, and Reconnect signs you back into the same address.
- Open Inbox, then Email Accounts.
- Press Disconnect account on the card and confirm.
- To swap mailboxes, disconnect one first: the header shows how many of your accounts are in use.
- Press Reconnect on any account flagged as needing reconnection.
FAQ
- How many mailboxes can I connect?
- Up to two at a time. The Email Accounts page shows how many of your slots are in use, and you need to disconnect one before connecting another.
- My university email will not connect. What now?
- Many universities and employers block outside email apps at the administrator level, and the sign-in simply dies with no error. Use a personal Gmail or Outlook address instead.
- What can Whali see in my inbox?
- Whali asks for permission to send on your behalf, not to read your personal mail. Your conversations with leads appear in the Whali Inbox because they are the messages Whali sent and the replies to them.
- If I disconnect, do I lose my emails?
- No. Disconnecting only stops Whali sending from that address. Your leads, drafts and conversation history stay in your account, and reconnecting the same mailbox picks up where you left off.
